Program Coordinator/Civil Engineering

Job Duties and Responsibilities
- Ensures that the appropriate recruitment materials are sent to all Institutional Coordinators and disseminated to students at NMSU through listservs and QCAM online platforms, in STEM department front offices, and to STEM department chairs
- Scheduling and coordinating students to QCAM summer camps at NMSU and NTU.
- Preparing the presentation draft for annual performance evaluation
- Assists with the selection of students for the awards defined in QCAM
- Coordinate and schedule all virtual and in person QCAM meetings
- Assists with setting up payments for students including hiring hourly and regular graduate and under graduate students
- Sets up and maintains record of all students impacted by research, education, and outreach activities in QCAM and assists with record keeping for the awards and assistantships.
- Setup QCAM social media accounts and manage and coordinate all postings and keep record of the social media impacts such as number of views etc. for all relevant posts.
- Assists with the coordination of conference, workshops, events and activities defined in QCAM
- Assists with all financial aspects of the conference, including awards, giveaways, and Workshop stipends, and travels
- Assists with various arrangements for the conference and workshops, as needed, including the venue at which it is held and how the rooms are set up
- Heads various conference committees
- Schedules/coordinates meetings, events, interviews, and appointments for QCAM Director
- Coordinates travel/lodging arrangement for QCAM Director and Staff and students involved in QCAM
- Posts, balances, monitors, and reconciles for internal department needs
- Sorts, screens, reviews incoming/outgoing mail
- Helps with P.Os, PSCs, payment to Institutional Coordinators, other payment needs
- Assists with all QCAM accounting needs
- Directs and trains Student Employees
- Serves as liaison with other departments in resolution of day-to-day administrative and operational issues
- Draft a quarterly report that includes all financial and statistical information regarding there aspects of QCAM that includes research, education, and outreach.
- Communicate with vendors and NMSU purchasing team to get quotes and place the PO for materials, equipment and other supplies that will be purchased for QCAM activities
- Work with associate Dean for Research to coordinate outreach activities related to QCAM
- Coordinate with other partners in QCAM to collect their data, document them and keep track of their reports
